Overview

The File Storage feature in AccountingSuite allows users to upload and store files in AccountingSuite and associate them to a document, item or company. Any file type can be uploaded – store an item’s specification sheet, a receipt for a purchase, or a picture of an inventory item – even store files on the company level!

There are button labeled Attached Files in the locations where this feature is available. See the screenshot below for an example of the Attached Files button on the Sales Order list view.

Uploading a New File

  1. Navigate to the document, item or company where you’d like the file to be stored.
  2. Click the Attached files button.  
  3. Click the Choose File button in the popup window and browse for the file you’d like to upload.
  4. Click ok.
  5. Enter a Description of the file. (optional)  
  6. Click Upload.

Viewing/Downloading Attached Files

To View or Download an Attached File

  1. Navigate to the location where the file is located.
  2. Clicked Attached Files.  A list of files that have been uploaded will be displayed.
  3. Click Download File.  The file will be saved to the default download location that has been specified in the browser’s settings.

Replacing an Attached File

To Replace an Attached File

  1. Navigate to the location where the file is located.
  2. Clicked Attached Files. A list of files that have been uploaded will be displayed.
  3. Highlight the file to delete.
  4. Click Delete.
  5. Follow the instructions in the section titled Uploading a File to replace the file.
Note: Uploading a file with the same name will NOT overwrite the existing file. The result of this action will be two files with the same name.


Deleting a File

To delete an attached file:

  1. Navigate to the location where the file is located.
  2. Clicked Attached Files. A list of files that have been uploaded will be displayed.
  3. Highlight the file to delete.
  4. Click Delete.

Additional Information on the File Storage Feature

  • The maximum size for an individual file is 50 megabytes.
  • The total space available for an account is limited to 2 gigabytes.
  • The filename must not be greater than 255 characters.
  • File names do not need to be unique, even when two files are uploaded to the same location. This means that uploading a file with the same name as one that exists in the location will not overwrite the existing document.
  • Only files may be uploaded, not folders.
  • The structure of uploaded files is flat, folders are not currently supported.
  • When browsing for files, the file must reside in a file system that is accessible and local to the operating system.    Browsing to online services such as Dropbox or Google Drive is not supported. Dragging and dropping of files is also not supported.
